Privacy Policy

This Privacy Policy describes how NT Consulting Group LLC, doing business as Helios Forge Enterprise Intelligent Platforms ("HFEIP," "we," "us," or "our"), collects, uses, and protects information through the HFEIP platform (the "Service").

Information We Collect

To operate the Service, we collect and store:

• Account information for staff and client users — name, email address, job title, and hashed login credentials.
• Client and business information — company name, contact details, billing rates, and billing terms.
• Service records — time entries, service tickets, project details, and the notes or descriptions staff enter about work performed.
• Billing and invoice data — hours billed, rates, invoice line items, and payment status.

How We Use Information

We use the information above to:

• Provide time tracking, ticketing, billing, and reporting functionality.
• Generate and send service summaries, ticket updates, and invoices by email.
• Allow client users to view their own tickets and invoices through the Client Portal.
• If you choose to connect QuickBooks Online, push invoice and customer records to your QuickBooks company so your books stay current.

Financial Account Data (Plaid)

The HFEIP-Finora financial application lets authorized users connect their own business bank and card accounts using Plaid Inc. When you choose to connect an account, you authenticate directly with your financial institution inside Plaid's secure interface — your bank credentials are never seen, transmitted through, or stored by us. Through Plaid we receive account balances and transaction history, which we use solely to provide financial dashboards, budgeting, forecasting, and reporting to your own organization. Plaid access tokens are encrypted at rest, and financial data is retained only while the connection is active — disconnecting an account deletes its access token and cached data. We never sell financial data or share it with third parties. By connecting an account you also agree to the Plaid End User Privacy Policy.

Third-Party Services

We rely on a small number of third-party providers to operate the Service:

• Google Workspace (Gmail) — used to send outbound email notifications (ticket updates, invoices, password resets).
• Intuit QuickBooks Online — used only if you explicitly connect your QuickBooks account, to sync invoice and customer data you've generated in HFEIP.
• Plaid Inc. — used only if you explicitly connect a financial account, to retrieve balances and transactions from your financial institution (see "Financial Account Data" above).
• Anthropic PBC — powers the HFEIP-Finora financial analyst. When you ask the analyst a question, relevant financial figures (balances, transactions, invoices) are processed by Anthropic's API over an encrypted connection to generate the answer. Anthropic acts as a service provider and does not use this data to train its models. Credentials, passwords, and access tokens are never sent.
• Amazon Web Services (AWS) — hosts the application and database infrastructure.

We do not sell personal information to third parties, and we do not share client or billing data with anyone outside these operational providers except as required by law.

Data Access and Isolation

Access to data within HFEIP is role-based. Staff accounts see data according to their assigned role. Client Portal accounts are strictly scoped to that client's own tickets, invoices, and projects — a client user cannot see another client's data.

Data Security

Passwords are hashed, never stored in plain text. All traffic to the Service is encrypted in transit via HTTPS/TLS. Application data is stored in a PostgreSQL database on infrastructure we operate directly.

Data Retention

We retain account, billing, and service records for as long as your organization's engagement with us continues, and as needed to meet accounting, tax, and legal recordkeeping obligations afterward.

Your Choices

You may request access to, correction of, or deletion of your personal information by contacting us at the address below, subject to our legal and recordkeeping obligations.

Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision.
